Last updated: October 13, 2026

Introduction

Welcome to Film Club. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our film club management platform. By using our service, you agree to the collection and use of information in accordance with this policy.

Information We Collect

Personal Information

We collect information you provide directly, including your username, email address, profile information, and any content you create within film clubs.

Usage Information

We automatically collect information about your interactions with our service, including film ratings, club participation, and feature usage patterns.

Device Information

We may collect device-specific information such as your IP address, browser type, and operating system to improve our service and ensure security.

How We Use Your Information

  • To provide and maintain our film club management service
  • To personalize your experience and provide film recommendations
  • To send notifications about club activities and platform updates
  • To improve our service and develop new features
  • To ensure platform security and prevent abuse

Information Sharing

We do not sell, trade, or rent your personal information to third parties. We may share your information only in the following circumstances:

  • • Within your film clubs, as necessary for the service functionality
  • • With service providers who assist in operating our platform
  • • When required by law or to protect our legal rights
  • • In connection with a business transfer or merger

Your Rights and Choices

You can update your account information and privacy preferences through your profile settings.

Data Access and Deletion

You may request access to your personal information by contacting us. To delete your account, see Deleting your Film Club account below.

Communication Preferences

You can control notification settings within your account preferences to manage how we communicate with you.

Deleting your Film Club account

How to delete it

  • • Signed in, open your profile, choose Edit, then Delete My Account at the bottom, or go straight to /account/delete. You'll see exactly what happens to your clubs before you confirm.
  • • Or email hello@thefilmclub.app from the address on your account and we'll delete it for you.

Deletion is immediate and can't be undone.

What's deleted

  • •Your email address, username, password, profile picture, bio and favourite quote.
  • •The text of every comment and discussion post you wrote (replaced with "[Comment removed - user deleted account]") and the notes on your diary entries.
  • •Your club memberships, the clubs and people you follow and who follow you, any pending requests to join a club, and every "watched with" tag naming you.
  • •Your watchlist, watch-by plans, notifications and notification settings, and the devices registered for push notifications.
  • •Your sign-in: no one can log in to the account again.

What's anonymised

Your account is renamed to something like former_member_ab12cd, with no link back to you. Your ratings, film picks, diary dates and scores, poll votes, reactions and Top 5 stay under that name, so your clubs' round history and averages remain intact.

Clubs you admin

Admin passes to the club's longest-standing other member, who is told about it. If you're the only member, the club isn't deleted: it keeps its history with no members.

What's kept, and for how long

  • •Anonymised contributions (above): kept for as long as the club they belong to exists.
  • •Usage analytics: pages visited and actions taken, with masked IP addresses, attached to the anonymised account. Deleted automatically 18 months after they were recorded.
  • •Error reports, which can include your old username: deleted after 30 days.
  • •Database backups, kept by our hosting provider for disaster recovery, still hold your details as they were before deletion until those backups expire: 3 days for point-in-time recovery, 7 days for exports. We don't restore deleted accounts from them.
